Summary:
We are looking for an Administrative Assistant for our Advertising department who will be responsible for soliciting and follow up regarding gathering ad materials for print and online products, as well as reviewing the submissions and preparing them for further processing.
Responsible for fulfilling, monitoring, and setting up reports for clients' sponsored content and e-blast marketing campaigns.
In charge of reviewing proofs to ensure the right ad is placed.
Providing general administrative support for processing advertising orders.
Will interact with clients to process ad material.
Must be comfortable with Google Sheets and Docs, Word, Excel and software programs.
Essential Duties &
Responsibilities:
Gather ad materials for magazines, directories, and digital products.
Preview ad material files for compliance with specs and record them in the database; help revise incorrect artwork.
Review impositions to ensure proper ad space is reserved.
Create an advertising index for the magazines and participate in issue review.
Review ad materials for accuracy of placement and specific advertising files.
Set up and monitor clients' digital marketing campaigns such as e-blasts, sponsored content programs, web banners and newsletter ads.
Set up reporting for these campaigns.
Work directly with clients to get final approval for digital campaigns:
sponsored content and e-blasts.
Responsible for understanding and using Ad Orbit proficiently for processing orders and barters, pulling reports, and working in client accounts, as well as creating orders as needed.
Help train incoming sales staff on using the application.
Help with setup and maintenance as needed.
Assist with light creative work (banner ads, text ads).
Work with marketing to ensure house ads are placed.
Must be comfortable using Word, Excel, Google Docs and Google Sheets, as well as interacting with a variety of software programs.
Provide backup for Advertising Production Manager as needed.
Qualifications:
Education and/or Experiience:
Associates Degree or some college level classes Experienced using basic Word, Excel, Google Docs and Google Sheets Customer service/relations Knowledge & Skills:
Familiarity with Jira, PhotoShop, HTML editing and Google Ad Manager a plus.
Aptitude working in specialty software such as Ad Orbit, Base, Omeda.
Highly organized and comfortable with multi-tasking and multiple deadlines.
Strong people skills needed for customer interaction.
